Handling a Whistleblower Complaint Properly

The organisation's response to the first complaint determines whether it ever receives a second.

Acknowledge receipt, protect the complainant's identity, preserve relevant records, and assess independence — whoever is named must have no role in the review.

Scoping the Enquiry

Convert the complaint into specific, testable questions. A complaint is an allegation; the enquiry examines whether the record supports it, in either direction.

  • What exactly is alleged, and over what period?
  • Which records would confirm or contradict it?
  • Who has access, and who approved?
  • What can be established without approaching those named?

Closing It

Every complaint should end in a documented outcome — substantiated, partly substantiated, or not substantiated with the basis stated. Silence is what destroys a reporting channel.
